Sounding friendly, efficient, and calm on the phone is essential to convincing clients that your company is just what they are looking for! To be able to answer enquiries confidently, take messages without hesitation and handle complaints sensitively are all keys to establishing a rapport with clients. But this is not so easy when you are speaking in a second language.

Here are some tips to help you become the person everyone wants to speak to!

  • Smiling stretches the facial muscles and softens the voice. Place a mirror beside the phone and smile into it before answering the call. Smiling will soon become a habit and you can throw away that mirror.
  • Record yourself and listen to your voice – are you speaking too fast, or too slowly? Practise listening to yourself and be your own judge – do you like what you hear? If not, modulate your pace and tone.
  • Imagine you are speaking to a friend; listen attentively so that you don’t miss anything.
  • Write down a script for the various questions and queries you may be asked so you are familiar with the words and phrases you need to respond efficiently.
